1. Who we are
This policy describes how KF Peyper, trading as Web Space Works USA, handles personal information associated with webspaceworks.com, business inquiries, and our own service administration. We provide website services remotely to U.S. businesses, with operations in South Africa. References to service areas do not mean we maintain an office in those places.
Contact us at [email protected] or +1 (561) 888-9033 for privacy questions. Our legal service provider is KF Peyper, trading as Web Space Works USA.
This policy concerns our own information handling. Where we access information in a client’s website solely to perform agreed work on that client’s instructions, the client determines its purposes and the relevant engagement and data-processing terms also apply.
2. Information you provide
When you email, call, or message us, we receive the information you choose to provide. It may include your name, business name, email address, telephone number, website URL, service request, correspondence, and project materials. If you become a client, we also handle relevant account, contract, invoice, payment-status, and service records.
Please do not include passwords, complete payment-card information, government identification, health records, or other sensitive information in an initial inquiry. If access to a client system is necessary, we arrange a suitable method and limit access to the agreed work. Do not provide another person’s confidential information without appropriate authority.
3. Technical information and performance measurement
Website hosting, delivery, security, and error-handling systems may process IP addresses, requested URLs, request times, browser and device information, referrer information, and security or error events. These systems use information to deliver pages, protect the website, diagnose faults, and maintain reliability.
The website currently includes Cloudflare performance measurement. Cloudflare services may process technical and performance information according to the enabled configuration and their own privacy documentation. We do not describe the website as collecting no technical information or having no measurement tools. We have not verified every infrastructure log field or retention period, and do not promise that every measurement record is anonymous.
The known website build does not include advertising pixels or Google Analytics. This is a description of the reviewed configuration, not a promise that every hosting or security provider collects nothing. We review this policy before introducing materially different tracking.
4. Contact form and external website tests
The current contact form is a disabled preview. Its send button does not submit an inquiry, and the preview is not configured to store submissions. Use email, telephone, or the available WhatsApp link to contact us. We will update this policy for the actual fields, storage, spam protection, delivery, and retention before enabling form submissions.
The website-test feature opens Google PageSpeed Insights with the website address you enter. That address is sent to Google when you run the test. Enter only a public website URL; do not include passwords, private account links, access tokens, or confidential query parameters. This feature does not itself create a Web Space Works customer account or inquiry. Google operates the testing service under its own terms and privacy policy.
5. Cookies and browser storage
Public visitors can browse without creating an account. WordPress uses cookies for authorized administrator authentication and related administration. Infrastructure or security features may use technical cookies depending on their configuration. Browser caching also stores page resources to make repeat visits more efficient.
You can inspect, remove, or block cookies and site data through your browser. Blocking essential cookies can prevent administrator sign-in or other dependent functions. If nonessential cookies or consent-dependent tools are introduced, we will assess the required controls and update the information provided here. This policy is not itself a consent mechanism.
6. Why we use information
We use relevant information to:
Respond to inquiries and prepare proposals.; Deliver and administer services you request.; Communicate about work, invoices, approvals, and support.; Maintain, secure, and improve the website and service delivery.; Keep necessary business records, resolve disputes, and meet applicable obligations.
Where a law requires a lawful basis, we rely on the basis appropriate to the activity, such as steps you request before a contract, contract performance, a legal obligation, proportionate legitimate interests, or consent where required. We do not treat browsing the website as blanket consent to every possible data use. A service inquiry is not automatic permission for unrelated marketing.
7. Who may receive information
Information may be accessed by people working on the request and providers supplying hosting, delivery, security, communications, backup, or necessary business administration. We share only information relevant to their role, subject to the arrangements appropriate to that service. Client instructions and any data-processing agreement govern access to client-controlled systems.
If payment is arranged through a third-party provider, that provider handles the payment information submitted to it under its own terms. We may receive transaction references and payment status. The website currently has no enabled checkout, and this policy does not assert a particular payment provider or card-storage arrangement.
We may disclose information where required by law or reasonably necessary to address fraud, a security incident, or a legal claim, subject to applicable requirements. We do not sell inquiry information or use the known website configuration to share it for cross-context behavioral advertising. This statement must remain consistent with our actual providers and practices.
8. WhatsApp and other external services
The WhatsApp control is an external link, not an embedded chat system. Opening it or sending a message uses a service operated by WhatsApp or Meta, which may receive your telephone number, profile information, message, and related technical information. Their own privacy practices apply. You may contact us by email or telephone instead.
Other linked websites, including official local-information sources and Google PageSpeed Insights, operate independently. Read their privacy information before supplying data to them. Linking to them does not mean that we control their processing.
9. International access and processing
Because we operate remotely, information may be accessed in South Africa and processed in other countries where our service providers operate. A U.S. service-area page does not promise U.S.-only storage or access. Applicable requirements may vary by location.
We do not claim an unverified international-transfer certification. Where an engagement requires particular safeguards, transfer terms, or data-location restrictions, those must be assessed and agreed before the relevant information or access is supplied.
10. Retention
We retain information for the purposes for which it was obtained, including relevant service delivery, support, business records, legal obligations, and dispute resolution. We then delete or de-identify information where appropriate, subject to those requirements. We consider the relationship, information sensitivity, and applicable obligations when determining retention.
Correspondence, invoices, technical logs, and backups may have different retention periods. Some records remain in backups until the relevant backup expires or is overwritten. We do not promise immediate deletion from every system. Ask us about the relevant category if you need more detail; we will not invent a universal retention period that our systems do not implement.
11. Security
We use reasonable technical and organizational measures appropriate to the information and work involved, including limiting unnecessary access. No website, email service, or transmission method is completely secure. Contact us promptly if you suspect unauthorized access or disclosure, without sending additional sensitive material through an insecure route. We address incidents and any notification obligations in accordance with applicable requirements.
12. Requests and choices
You may contact [email protected] to ask about information we hold, request access or correction, request deletion, object to a use, or raise a concern. Depending on applicable law, you may have additional rights such as portability, restriction, withdrawal of consent, or a complaint to a competent regulator. Rights and exceptions depend on the information, processing, and law that applies; this policy does not limit mandatory rights.
We may request proportionate information to verify identity or authority. Do not send an identity document with an initial request. We respond within the periods required by applicable law and explain material restrictions, such as records that must be retained. Withdrawing consent does not undo lawful processing already carried out. If we send optional marketing, we provide a way to stop it; service and billing communications may continue where necessary.
13. Children
Our services are directed to business customers, and the website is not intended for children under 13. We do not knowingly solicit their personal information. Contact us if you believe a child has supplied information so we can investigate and take appropriate steps. This is not an age-verification mechanism.
14. Changes
We update this policy when relevant practices change and identify the revision date. Where required, we provide additional notice or obtain consent before materially different processing begins. Posting a new policy does not remove rights attached to information already collected.
